Understanding the HOA Work Request and Decision-Making Process

Dear Homeowners,

We would like to provide an overview of the process for handling work requests and issues within our community to ensure transparency and understanding.

Work Request Submission

  • Step 1: Homeowners submit a work request or report an issue to Cusick or the HOA Board.
  • Step 2: For non-emergency issues, Cusick will obtain quotes from vendors. The vendors inspect the issue and provide a quote.

Decision-Making Process

  • Step 3: The HOA Board reviews the quotes at the next monthly board meeting. The board meets once per month to discuss and make decisions unless there is an emergency.
  • Step 4: A decision is made if a majority of board members agree. If the request is approved, the decision is communicated to the vendor.
  • Step 5: The vendor schedules and completes the work.

Emergency Situations

  • In the case of an emergency, a unanimous approval from the board is required to move forward outside of a meeting. If unanimous approval is not reached, the issue will be reviewed and decided upon at the next board meeting.

Additional Information

  • Turnaround Time: Decisions can sometimes take up to one month due to the monthly meeting schedule and the need for multiple quotes for larger projects.
  • Vendor Response: The response time from vendors may vary based on their workload.
